At K-Gudi Wilderness Camp, we understand that plans can change. This Refund Policy outlines the terms and conditions for cancellations and refunds. We recommend reading this policy carefully before making a booking.
1. Cancellation Policy
All cancellation requests must be submitted in writing via email to book@k-gudiwildernesscamp.com or by calling our reservation team at +91-9480022108.
Cancellation Timeline and Refund Schedule
- 10% of the tariff for cancellations made 15 days before the check-in date/time.
- 50% of the tariff for cancellations made between 48 hours and 14 days before the check-in date/time.
- No refund for no-shows or cancellations made less than 48 hours before the check-in date/time.
2. Refund Processing
- Refunds will be processed to the original payment method used for booking.
- Processing time: 7-10 business days from the date of approval of the cancellation.
- Bank processing may take an additional 3-5 business days.
- You will receive an email confirmation once the refund is initiated.
- Transaction fees charged by payment gateways are non-refundable.
3. Modification of Bookings
If you wish to modify your booking dates or accommodation type:
- Free - One postponement / preponement if requested 15 days before check-in date/time. After that, no further changes or cancellations are allowed.
- 20% of the tariff if requested between 14 and 7 days before the check-in date/time.
- 50% of the tariff if requested within 7 days, but more than 24 hours before the check-in date/time.
- No modification will be allowed within 24 hours of check-in.

4. Early Check-out
If you check out before your scheduled departure date, no refund will be provided for any unused nights.
- Full payment for the booked duration is applicable.
5. Cancellation by K-Gudi Wilderness Camp
In rare circumstances, we may need to cancel your booking due to:
- Force majeure events (natural disasters, pandemics, government orders)
- Unforeseen operational issues
- Safety concerns
- Facility maintenance or closure
In such cases, a 100% refund will be provided.
- Alternative dates will be offered with no change fees.
- Refund will be processed within 5 business days.
- We will notify you as soon as possible via email and phone.
Please Note: K-Gudi Wilderness Camp is not liable for any additional costs incurred by guests, including but not limited to travel expenses, accommodation elsewhere, or consequential losses.
6. Weather-Related Cancellations
Weather conditions in wilderness areas can be unpredictable:
- Refunds for weather-related cancellations are provided only if we cancel your booking for safety reasons.
- Cancelled activities due to weather will be rescheduled or replaced with alternatives whenever possible.
7. Wildlife Safari Permits
- Safari permits are subject to forest department availability.
- Accommodation charges are separate and subject to the standard cancellation policy.
- Safari permit fees paid to the forest department are non-refundable once booked.
8. Refund Request Process
To request a refund, send a written cancellation request to book@k-gudiwildernesscamp.com with your booking confirmation number and guest name.
- Include your booking confirmation number and guest name.
- Specify the reason for cancellation (optional but helpful).
- Provide bank account details for refund processing.
- You will receive an acknowledgment within 24 hours.
- Refund status update will be provided within 48 hours.

9. Dispute Resolution
If you have any concerns about refund processing, contact our customer service team immediately.
- We strive to resolve all disputes amicably within 7 business days.
- Escalation to management is available for unresolved issues.
- All refund decisions are at the discretion of K-Gudi Wilderness Camp management.
10. Travel Insurance Recommendation
We strongly recommend purchasing comprehensive travel insurance that covers:
- Trip cancellation and interruption.
- Medical emergencies.
- Travel delays.
- Lost baggage.
Travel insurance can protect you from financial losses if unexpected events prevent you from completing your trip.
